After-the-fact payroll
Your staff are paid first. The records and the forms follow, on time.
After-the-fact payroll means the pay itself is made by you or your payroll provider, and we enter each pay run in QuickBooks Online once it is paid: the gross pay, the tax withheld and the employer taxes. With QuickBooks Payroll set up correctly, the quarterly and annual forms are filed on their dates from those records.
- Form 941, quarterly. Federal income tax withheld and Social Security and Medicare tax, due the last day of the month after each quarter: 30 April, 31 July, 31 October and 31 January.
- Form 940, annual. Federal unemployment tax, due 31 January.
- Forms W-2 and 1099-NEC, by 31 January. W-2s to every employee and to the Social Security Administration; 1099-NECs to every contractor paid for services, and to the IRS.
- California, where it applies. The DE 9 and DE 9C quarterly reports to the Employment Development Department.
How it runs
You send the pay run. We record it the same week.
After each pay date you send the payroll report from your provider, or the hours and amounts paid. We enter it in your QuickBooks Online file, match the net pay and the tax deposits to the bank, and keep the wages in the books in step with the wages on the forms.
We do not pay your staff or make your tax deposits; you or your provider do. What we keep right is the record, so that every Form 941, 940 and W-2 agrees with what was actually paid.
We have done this for a CPA firm in the USA on an outsourced basis, in the firm's own file. The work is done remotely from Dubai, for clients in the USA, the UAE, the GCC or anywhere else.
